Booking Policies – Hike expeditions

These Reservation Policies establish the terms and conditions governing the booking of tours, excursions, tourist packages, and services operated by Hike expeditions.
By making a reservation and paying any amount, the customer fully accepts the conditions described below.

1. Proceso de Reserva y Confirmación

1.1 Availability

All reservations are subject to availability, including official permits, train seats, accommodations, guides, transportation, and access to protected areas (e.g., Inca Trail, Machu Picchu, National Parks).
No quote guarantees a service until the corresponding payment has been processed.

1.2 Customer Data

The customer must provide accurate and verifiable information:

  • Full names (as they appear on the passport or identity document)
  • Nationality
  • Date of birth
  • Valid document number
  • Special requirements (food, health, mobility)

1.3 Travel Documents

For tours that require official passport control, such as Machu Picchu or the Inca Trail, the document presented must be the same as the one registered in the reservation.
Errors or inconsistencies may invalidate tickets without the right to a refund.

1.4 Confirmation of Booking

The reservation is considered confirmed only when:

The deposit or full payment is received according to the applicable policy
The agency issues the Official Voucher or Confirmed Itinerary

2. Fees, Deposits, and Payments

2.1 What the prices include

Prices include only the services detailed in the official itinerary.
They do not include:

  • Tips
  • Meals not specified
  • Personal expenses
  • Travel insurance
  • Airport tax
  • Excess baggage
  • Visas or vaccinations

2.2 Initial Deposit

For tours or packages longer than 2 days, a non-refundable deposit of 30% of the total value is required.

This deposit is used to secure:

  • Entrance fees
  • Permits
  • Train tickets
  • Hotel reservations
  • Non-refundable operational logistics

2.3 Payment of Balance

The balance must be paid up to 2 days before the start of the tour.
If the reservation is made within that period, 100% must be paid immediately.

2.4 Non-compliance

Failure to pay within the established period implies:

  • Automatic cancellation of the reservation
  • Loss of the initial deposit

2.5 Rate Adjustments

Prices are subject to change due to:

  • Changes in taxes or government fees
  • Increases in operating costs
  • Currency fluctuations
  • Increases in supplier fees

In the event of adjustments, the customer will be notified in a timely manner.

3. Modifications Requested by the Customer

3.1 Minor Changes

Changes such as schedules, equivalent hotels, or logistical adjustments incur an administrative fee of [Amount] USD per person, plus supplier charges.

3.2 Major Changes

Changing routes, dates, or names after permits or tickets have been issued is considered a cancellation, and the penalties in Section 4 apply.

3.3 Unused Services

There will be no refund if the customer decides to omit included services (e.g., tours, meals, transfers).

4. Cancellations and Refunds

4.1 Notification

All cancellations must be sent in writing to the official email address:

4.4 Force Majeure

In cases of:

  • Border closures
  • Natural phenomena
  • Strikes

The agency will offer:

5. Responsabilidad, Salud y Documentación

5.1 Physical Condition and Health

The customer must assess whether they are fit for the tour.
Hiking and altitude tours require good physical condition.

The agency is not responsible for:

  • Altitude sickness
  • Undeclared conditions
  • Denial of service for medical reasons

5.2 Documentation

The customer must travel with:

  • Valid passport
  • Necessary visas
  • Required vaccination cards

Lack of valid documentation does not generate refunds.

5.3 Mandatory Insurance

All clients must have:

✔ Travel insurance
✔ Medical coverage
✔ Repatriation
✔ Trip cancellation

Before starting the tour, the following must be sent:

  • Name of the insurance company
  • Policy number

5.4 Limitation of Liability

The agency acts as an intermediary and cannot be held responsible for:

  • Accidents
  • Losses
  • Personal injury
  • Delays or cancellations
  • Acts of third parties or external causes
